When reply classification depends solely on the In-Reply-To header, sending two emails in quick succession can cause processing issues. If the second email is processed before the first, the email chain breaks in ServiceNow. Consider this example: Email 1 (New) — Sent at 1:00:00 PM. When processed, the inbound action creates a record and associates it with the email.Email 2 (reply to Email 1) — Sent at 1:10:00 PMEmail 3 (reply to Email 2) — Sent at 1:10:30 PM The email reader job in ServiceNow runs every 2 minutes and creates emails in batches in the instance. From an end user's perspective, 30 seconds is a significant gap, but both Email 2 and Email 3 are pulled in the same batch and processed at the same time in ServiceNow. During processing, the email.read events are responsible for processing the emails. If Email 3 is processed before Email 2 (possible due to parallel processing), the system cannot find a target record associated with Email 2 and classifies Email 3 as new. This breaks the email chain. When relying solely on the In-Reply-To header, Email 3 — which should be a reply to Email 2 — is classified as new. As described in KB2634377, a broken email chain results in emails being classified as new by default. If Email 4 is sent after a while as a reply to Email 3, Email 4 will be classified as reply and will be associated to the target record tagged in Email 3.
