Workspace View Rule conditions are not honored for admin users in workspaceIssue <!-- /*NS Branding Styles*/ --> .ns-kb-css-body-editor-container { p { font-size: 12pt; font-family: Lato; color: var(--now-color--text-primary, #000000); } span { font-size: 12pt; font-family: Lato; color: var(--now-color--text-primary, #000000); } h2 { font-size: 24pt; font-family: Lato; color: var(--now-color--text-primary, black); } h3 { font-size: 18pt; font-family: Lato; color: var(--now-color--text-primary, black); } h4 { font-size: 14pt; font-family: Lato; color: var(--now-color--text-primary, black); } a { font-size: 12pt; font-family: Lato; color: var(--now-color--link-primary, #00718F); } a:hover { font-size: 12pt; color: var(--now-color--link-primary, #024F69); } a:target { font-size: 12pt; color: var(--now-color--link-primary, #032D42); } a:visited { font-size: 12pt; color: var(--now-color--link-primary, #00718f); } ul { font-size: 12pt; font-family: Lato; } li { font-size: 12pt; font-family: Lato; } img { display: ; max-width: ; width: ; height: ; } } A Workspace View Rule configured on the incident table with role-based conditions is incorrectly applied to admin users who do not satisfy the defined conditions. The rule behaves as expected for users who explicitly have the required custom role. However, once impersonation is ended and the session returns to an admin user (who does not have the role specified in the condition), the same view rule continues to be enforced. This indicates that the condition logic defined in the Workspace View Rule is not being strictly evaluated for admin users, leading to unintended behavior where admin users are also impacted by rules meant for a restricted audience. Expected BehaviorWorkspace View Rules should only apply to users who meet the defined condition criteria (e.g., specific roles). Users who do not satisfy the conditions (including admin users without the specified role) should not have the view rule enforced. Administrators inherently possess all roles in the platform and do not need to be explicitly granted additional roles. As a result, when multiple Workspace View Rules exist, the admin user may satisfy conditions for other role-based rules before receiving the expected workspace view. Resolution<!-- /*NS Branding Styles*/ --> .ns-kb-css-body-editor-container { p { font-size: 12pt; font-family: Lato; color: var(--now-color--text-primary, #000000); } span { font-size: 12pt; font-family: Lato; color: var(--now-color--text-primary, #000000); } h2 { font-size: 24pt; font-family: Lato; color: var(--now-color--text-primary, black); } h3 { font-size: 18pt; font-family: Lato; color: var(--now-color--text-primary, black); } h4 { font-size: 14pt; font-family: Lato; color: var(--now-color--text-primary, black); } a { font-size: 12pt; font-family: Lato; color: var(--now-color--link-primary, #00718F); } a:hover { font-size: 12pt; color: var(--now-color--link-primary, #024F69); } a:target { font-size: 12pt; color: var(--now-color--link-primary, #032D42); } a:visited { font-size: 12pt; color: var(--now-color--link-primary, #00718f); } ul { font-size: 12pt; font-family: Lato; } li { font-size: 12pt; font-family: Lato; } img { display: ; max-width: ; width: ; height: ; } } To ensure administrators are directed to the correct view, we recommend creating a higher-priority Workspace View Rule specifically for the admin role. Workaround:- Create a new Workspace View Rule for the Incident table. - Set the Order value to a lower number than the existing custom-role rule (for example, if the existing rule uses Order 100, set the new rule to 50). - Add the admin role in the Roles field. - Select the appropriate view that administrators should see (for example, the Service Operations Workspace view). - Leave the Conditions field empty. - Save the record and test with an admin user. Why this works:- Workspace View Rules are evaluated in order of priority, with lower Order values evaluated first. Once a matching rule is found, no further rules are processed. - The admin user matches the new higher-priority rule and is immediately assigned the correct workspace view. - Evaluation stops after this match, preventing subsequent custom-role rules from overriding the view. - Non-admin users do not meet the admin-role criteria, so they continue to the existing custom-role rule and receive the intended custom view. - This approach allows administrators and non-administrators to receive their respective workspace views without affecting the existing role-based configuration.
