List Collector or Reference Field Displays "No Matches Found" Despite Read ACL Access to the display field Issue <!-- /*NS Branding Styles*/ --> .ns-kb-css-body-editor-container { p { font-size: 12pt; font-family: Lato; color: var(--now-color--text-primary, #000000); } span { font-size: 12pt; font-family: Lato; color: var(--now-color--text-primary, #000000); } h2 { font-size: 24pt; font-family: Lato; color: var(--now-color--text-primary, black); } h3 { font-size: 18pt; font-family: Lato; color: var(--now-color--text-primary, black); } h4 { font-size: 14pt; font-family: Lato; color: var(--now-color--text-primary, black); } a { font-size: 12pt; font-family: Lato; color: var(--now-color--link-primary, #00718F); } a:hover { font-size: 12pt; color: var(--now-color--link-primary, #024F69); } a:target { font-size: 12pt; color: var(--now-color--link-primary, #032D42); } a:visited { font-size: 12pt; color: var(--now-color--link-primary, #00718f); } ul { font-size: 12pt; font-family: Lato; } li { font-size: 12pt; font-family: Lato; } img { display: ; max-width: ; width: ; height: ; } } If users can access records directly but cannot locate them through a List Collector or Reference field, review whether the table uses a custom display field and whether a corresponding field-level query_range ACL exists. In many cases, adding the appropriate query_range ACL resolves the lookup issue while preserving the platform's security model. This article explains why users may see "No matches found" in a List Collector or Reference field even though they have Read access to the underlying table, and how to resolve the issue when a custom display field is being used. Both serve different purposes.Read ACLs control record visibility after retrieval.query_range ACLs control whether partial search operations against a field are permitted.Create query_range ACLs only after reviewing your organization's security requirements.Since these ACLs are customer-specific configurations, they should be designed, implemented, and maintained by the customer or implementation team. A Read ACL only determines whether a user is allowed to view a record after it has been retrieved. It does not automatically permit search operations performed by reference lookups or List Collectors. When users type into a Reference field or List Collector, the platform performs partial search operations (such as STARTS WITH or CONTAINS) against the table's display field. If no field-level query_range ACL exists for that display field, the platform blocks the search operation based on its security model. As a result, users receive "No matches found", even though they have permission to read the records. Resolution<!-- /*NS Branding Styles*/ --> .ns-kb-css-body-editor-container { p { font-size: 12pt; font-family: Lato; color: var(--now-color--text-primary, #000000); } span { font-size: 12pt; font-family: Lato; color: var(--now-color--text-primary, #000000); } h2 { font-size: 24pt; font-family: Lato; color: var(--now-color--text-primary, black); } h3 { font-size: 18pt; font-family: Lato; color: var(--now-color--text-primary, black); } h4 { font-size: 14pt; font-family: Lato; color: var(--now-color--text-primary, black); } a { font-size: 12pt; font-family: Lato; color: var(--now-color--link-primary, #00718F); } a:hover { font-size: 12pt; color: var(--now-color--link-primary, #024F69); } a:target { font-size: 12pt; color: var(--now-color--link-primary, #032D42); } a:visited { font-size: 12pt; color: var(--now-color--link-primary, #00718f); } ul { font-size: 12pt; font-family: Lato; } li { font-size: 12pt; font-family: Lato; } img { display: ; max-width: ; width: ; height: ; } } How to Verify Before implementing a solution, verify the following: Confirm that the user has the required Read ACL to access the table and records.Verify that the records are visible to the user from the native platform UI.Check whether the table is using a custom display field instead of the out-of-the-box display field.Determine whether a field-level query_range ACL exists for the display field. If Read access is working but search operations fail only in lookup controls, the missing query_range ACL is likely the cause. If a custom display field is required for your implementation, create a field-level query_range ACL for that display field and grant access to the appropriate roles. This explicitly authorizes the platform to perform partial search operations against the field while maintaining the intended security model. If a custom display field is not required, consider using the out-of-the-box display field, which may avoid the need for additional ACL customization.
