The failure prevents the ServiceNow instance from reading inbound email from the mailbox, which blocks any Inbound Actions that depend on it. This behavior is caused by Microsoft 365 tenant configuration and is not specific to a ServiceNow release Cause<!-- /*NS Branding Styles*/ --> .ns-kb-css-body-editor-container { p { font-size: 12pt; font-family: Lato; color: var(--now-color--text-primary, #000000); } span { font-size: 12pt; font-family: Lato; color: var(--now-color--text-primary, #000000); } h2 { font-size: 24pt; font-family: Lato; color: var(--now-color--text-primary, black); } h3 { font-size: 18pt; font-family: Lato; color: var(--now-color--text-primary, black); } h4 { font-size: 14pt; font-family: Lato; color: var(--now-color--text-primary, black); } a { font-size: 12pt; font-family: Lato; color: var(--now-color--link-primary, #00718F); } a:hover { font-size: 12pt; color: var(--now-color--link-primary, #024F69); } a:target { font-size: 12pt; color: var(--now-color--link-primary, #032D42); } a:visited { font-size: 12pt; color: var(--now-color--link-primary, #00718f); } ul { font-size: 12pt; font-family: Lato; } li { font-size: 12pt; font-family: Lato; } img { display: ; max-width: ; width: ; height: ; } } The error "User is authenticated but not connected" indicates a two-stage failure on the Microsoft side: Microsoft accepts the OAuth token (authentication succeeds), but does not permit that identity to open the target mailbox (mailbox access fails). This is a Microsoft 365 tenant-side authorization issue rather than a ServiceNow configuration problem. In this scenario, a Microsoft Conditional Access policy in the customer's Microsoft 365 tenant was blocking IMAP access for the affected mailbox. Because the policy evaluation occurs after authentication, tokens appear valid in the ServiceNow instance while the connection itself is rejected. Resolution<!-- /*NS Branding Styles*/ --> .ns-kb-css-body-editor-container { p { font-size: 12pt; font-family: Lato; color: var(--now-color--text-primary, #000000); } span { font-size: 12pt; font-family: Lato; color: var(--now-color--text-primary, #000000); } h2 { font-size: 24pt; font-family: Lato; color: var(--now-color--text-primary, black); } h3 { font-size: 18pt; font-family: Lato; color: var(--now-color--text-primary, black); } h4 { font-size: 14pt; font-family: Lato; color: var(--now-color--text-primary, black); } a { font-size: 12pt; font-family: Lato; color: var(--now-color--link-primary, #00718F); } a:hover { font-size: 12pt; color: var(--now-color--link-primary, #024F69); } a:target { font-size: 12pt; color: var(--now-color--link-primary, #032D42); } a:visited { font-size: 12pt; color: var(--now-color--link-primary, #00718f); } ul { font-size: 12pt; font-family: Lato; } li { font-size: 12pt; font-family: Lato; } img { display: ; max-width: ; width: ; height: ; } } The fix is applied in the Microsoft 365 tenant, not in the ServiceNow instance. Ask your Microsoft 365 / Exchange administrator to complete the following steps: Identify any Microsoft Conditional Access policy that blocks IMAP or legacy client access for the affected mailbox.Remove the mailbox (or the authorizing identity) from the blocking Conditional Access policy, or add an exclusion that permits IMAP access for this mailbox. In the ServiceNow instance, navigate to System Mailboxes > Administration > Email Accounts and open the affected email account.Select Test connection and confirm the test completes successfully. If the connection test still fails after the Conditional Access change, have the administrator verify the following tenant-side items, which are common causes of this same error: Confirm the authorizing identity has Full Access granted directly on the shared mailbox, not inherited through a security group.Note: Group-based access is known to cause this failure with OAuth IMAP. After granting direct access, re-authorize the account to generate a fresh token and rerun the test.Confirm IMAP is enabled on the shared mailbox itself in the Exchange admin center under the mailbox's email apps settings.Confirm the delegated permissions on the Microsoft Entra ID app registration have been granted tenant admin consent.
