All rules below should reference this role as their access condition, keeping access management centralized and maintainable. Step 2: Identify Sensitive Records Determine how sensitive records are distinguished within your instance. Review existing Incident fields such as Category or Assignment Group to see if one already serves this purpose. If no reliable identifier exists, create a dedicated field before implementing the rules below. Step 3: Configure a Query Business Rule (QBR) A Query Business Rule fires before database queries execute and appends additional filter conditions. This prevents unauthorized users from seeing sensitive records in list views and search results. Configure a QBR on the Incident table that appends a filter condition excluding sensitive records for any user who does not hold the designated role. The condition should be based on the record identifier established in Step 2. Reference: Query Business Rules documentation in the ServiceNow product docs for your release version. Step 4: Configure a Read ACL A Query Business Rule alone does not prevent direct record access. If a user knows a record's sys_id, they can still reach it via URL. A Read ACL on the Incident table closes this gap by enforcing access at the record level regardless of how it is reached, including direct URL navigation and API calls. Scope the ACL to apply only when the record matches the sensitive identifier from Step 2, and condition it on the same role used in the QBR. Step 5 (Optional): Configure Restricted Caller Access If specific fields within sensitive records require an additional layer of protection, even for users who can access the record, Restricted Caller Access can hide individual field values based on role.
