For example New Comments from Caller on Incidents, in the emails delivered, the subject is the same, but emails are not grouped in to the same thread in the email client. (Outlook, Gmail)Is there any configuration or procedure in ServiceNow email notifications that allows a follow-up Incident email notifications be grouped into a single conversation thread for the same incident in email clients like Microsoft Outlook or Gmail ? This also means that email headers that allow to group emails as Conversations or Threads like Thread-index (ConversationIndex / BaseConversationIndex) processing/managing are not considered a feature on the current platform version. In more detail: 1. Gmail client: Grouping email in the same conversation depends of the emails same sender or recipients, same subject, Reference header and if the email is sent within one week of an earlier message in the thread. Some emails generated by ServiceNow will have similar Subjects and recipients, so those could be grouped, but Incident-related emails will generate different subjects and potentially will be delivered to different recipients, so Gmail might automatically group some of the emails into the same conversation but not on all the scenarios. 2. Outlook client: Grouping email in the same conversation depends of the Thread-index (ConversationIndex / BaseConversationIndex), Message-ID, In-Reply-To, References headers. It will not use only the Subject information. Emails generated by ServiceNow have not Thread-index in their header. They do not include a mechanism oriented or neither a configuration parameter/procedure intended to implement email threading in Outlook. Potential alternatives could imply a custom development effort by adding custom logic into Business Rules on tables associated to the email notification ( like sys_email table ) that allows to alter the email header, subject and potentially recipients, and/or check the email notifications (each one) associated to Incident table and customize/alter the headers, subject and potentially recipients. This also will imply to perform a lot of tests due a change on Incidents email notifications default behavior could break some functionality).
