This article explains what you need to know about the various types of applications, their availability, and how to procure, install, and update them. Before you begin 1. Identify your instance type The process to get (also called procure), install, or update an application varies depending on whether you are using the app on a ServiceNow instance (a production instance) or a non-production instance (also called sub-production) for development and testing. On a production instance Follow the instructions in this article to get (procure) the application and any required dependent applications.After procurement, the app is available for installation or update. On a non-production instance Procurement is not required for most apps as entitlement is automatic.Entitlement on internal ServiceNow development or test instances is also automatic. Tip: "Procurement" or "to procure" means the process of connecting the application to your instance and may require adding it to your contract. This requirement varies by application. 2. Learn about app tags and banner messages Each application tile in the ServiceNow store has a tag type and a corresponding banner message once you select it. Standalone application tags Free (green) tagApp can be used in production and non-production (including ServiceNow development and testing) instances Paid (blue) tagApp requires a contract for use in production instancesTrials on non-production instances are sometimes available but not always Product suite application tags Product suites consist of several single applications under one name, such as App Engine Studio. A product suite has two types of pages: A product suite page that lists all apps within the suiteA single application page for products in the suite that can be obtained separately Navigation between these pages varies. In the Store, when you search for a product suite such as App Engine Studio, two tiles display with different tags. Product (yellow) tag goes to the product suite page: Lists all the products included in the suiteEligible and Not Eligible tabs indicate what is and is not included in your contract In Product (black) tag goes to the single application page. May have a Paid (blue) tag: Opens the single application page where a View Product button then takes you to the product suite page. Application banner messages Banners provide more details about where you can use the app (production or non-production) and licensing requirements, if any. The user interface and banner message details differ between standalone applications and single app pages for products in a suite. The following image shows a standalone application page banner. In this example, Admin Center is available as a trial on hosted non-production instances. App Engine Studio—a product suite page—has a different appearance and additional information, including a View Products button. Example of messages on a product suite page: If it says “Automatically entitled on all sub-prod instances...”, it means a trial is available.If it says “Automatically entitled on all ServiceNow instances...”, it means a trial is not available and you need to include the app in your contract. Update procurement and entitlements after upgrades Applications on the ServiceNow Store are matched to your instance by release version. When your instance is upgraded to a new platform version, any application version updates that are compatible with the new platform version require you to return to the store and perform the procurement again. This re-procurement is necessary because new versions often include updated or additional dependencies to the app you have installed. This process ensures everything is properly mapped to your instance for smooth upgrades. 4. Identify plugins versus applications Before requesting installation, determine if the product is an application or a plugin because the activation processes for each are different. To identify the product type, see Plugins versus Store apps for guidance. 5. Review these important notes Partner limitations As a partner, you cannot entitle or map applications to your instances through the ServiceNow Store because the Switch Company feature (available on Now Support) is not supported. Only the parent company customer administrators who own the instance can perform application entitlement and mapping on the Store. Store maintenance windows Actions performed during a Store maintenance window (such as procuring or mapping applications) do not sync with your instance until the maintenance period ends. To avoid delays in installation or upgrades, you should procure all required applications and dependencies before a scheduled maintenance window, which is displayed in advance via a banner on the Store website. Contract awareness Getting (procuring) an application from the Store does not automatically add it to your contract. ServiceNow does not link applications to customer contracts through user actions in the Store. When you try to get a licensed (paid) application that is not part of your contract: On the application page, select Request license.The button changes to License Requested.Work with your ServiceNow account manager to formally add the application to your contract.After the application is added to your contract, the button changes to Get so you can procure the application. Once the application is procured, the Get button changes to Ready to install. Step 2: Check the application dependencies In the application banner, select Licensing Requirements. > Version Details > DependenciesReview the list of dependencies. If all dependencies have a green checkmark, proceed to Step 4: Install the application on your instance. If any dependencies show a red X, continue to Step 3: Check app entitlements Step 3: Check app entitlements For any dependencies that are marked with a red X: 1. Select the app name to open its Store page. 2. If the Get button appears instead of View Products, select it. If the button changes to Ready to install, return to the parent app page and verify that the red X has changed to a green checkmark. If the app is still not available, contact ServiceNow Support for assistance. 3. If the button changes to License requested, check if the app is included in your contract. If the app is in your contract and still does not say Ready to install, contact ServiceNow Support for assistance. 4. If the View Products button appears instead of Get, select View Products. On the product page, select Opt-inCheck the Eligible tab to confirm if the app is available to you. For example, Workspace Builder for App Engine is an in-product app tied to App Engine Studio. If it's included in your contract and you opt in, it should appear in your Eligible tab.If it's not included, it appears in the Not Eligible tab. Step 4: Install the application on your instance After procuring the parent application and verifying all dependent applications are installed, follow these steps to install the application on your instance. 1. Log in to your ServiceNow instance. 2. Go to System Applications > All Available Applications > All 3. To refresh the list of available applications, select Sync now. 4. Search for the application by name. After completing these steps, if the application is not found, contact ServiceNow Support. 5. To launch the application installation wizard, select Install/Upgrade.
